Submit Strategic Hiring Form
Once the Strategic Hiring Form is completed, the Hiring Manager can reach out to Human Resources to provide the Recruitment Plan and list of Search Committee members. HR will be notified when the position is approved for recruitment. Once there is approval through the Strategic Hiring Form, and the Search Committee is approved, the Charge meeting can be held.

Contact your unit or departmental leadership if approval to refill a vacant position was denied through the Strategic Hiring Form.
Communicate with Human Resources
Provide the following information to the HR Director for the new position request. This can be done through the Strategic Hiring Form, and uploading attachments.
- Department and "Reports to" Supervisor Name
- Position Title and Career Level
- Corresponding Role Descriptor* (attached as PDF)
- FLSA Questionnaire (attached as PDF)
- Requested salary
- Funding source / budgeted amount
- How will the creation of this position support the IU Northwest Strategic Plan?
*If the Role Descriptor is available on another campus, but not visible for the Northwest campus, then please provide the appropriate Role Descriptor from the other campus location. HR will work to update the job code(s) and Role Descriptor(s) for the Northwest campus once the request is approved. Note that this step will add an additional 1-2 weeks for processing of the reclassification.

During the Strategic Hiring Form approval process, the Position Number will be created. This process can take 1-2 weeks; the Position Number must be created in order to post for the position. HR will be notified when the position is created and the Strategic Hiring Form will then continue through approvals.
In the meantime, other activities can begin. The Hiring Manager can reach out to Human Resources to provide the Recruitment Plan. The Search Commitee can be established and approved.
Once the Strategic Hiring Form is approved, the Charge meeting can be held and the committee can prepare for the work involved while the position is posted for applicants.

What is Reclassification?
Perhaps there is an existing vacancy and in review of departmental needs, there is a desire to change an available Position Number to a new title and role descriptor. A reclassification can also allow for changes to the Position Number to reflect new job data. This may be useful in restructuring a department or could be a way to strategically hire for new responsibilities or budget savings.
Locate the appropriate Role Descriptor for the new position by using IU Career Navigator.
The Hiring Manager or VC should send an email to the HR Director with a request to reclassify a position from one role to a new role. The email should contain the below for any position requesting to be reclassified.
- Current Position Number
- Existing Title/Role and Career Level
- Department
- Person being replaced
- New Position Title and Career Level
- Corresponding Role Descriptor* (attached as PDF)
- FLSA Questionnaire (attached as PDF)
- Requested salary
- Funding source / budgeted amount
- How will the creation/change of this position support IU Northwest Strategic Plan?

Once there is feedback from the Director of Human Resources, the Strategic Hiring Form should be completed. The Reclassification process will be initiated and system processing will be initiated.
Once there is approval through the Strategic Hiring Form, the system processing will have been completed. This overall process can take 1-2 weeks; the processing must be finalized in order to post for the new position.
In the meantime, other recruitment activities can begin. The Search Commitee can be established and approved. The Charge meeting can be held and the committee can prepare for the work involved while the position is posted for applicants.
